Reference lists

Settings → Configurations holds the short lists the rest of the product picks from. A new company starts with the lists shipped for its industry. You can turn shipped rows on or off, and you can add your own. You need permission to edit Configurations.

Every list works the same way:

  1. Open the tile and expand the list.
  2. To use a shipped row that is off, tick it and choose Add. Shipped rows are marked System.
  3. To create your own, choose Add and type a Name. Name is required. Description is optional. Open Add description when you need it.
  4. Save. The row is Custom and appears in the pickers.
  5. Edit a custom row by opening it. Change the name or the description and save.
  6. A system row opens read-only. The fields and the save button stay disabled. You can stop using it, but you cannot rename the original.
  7. Remove a row from daily use with the delete or the status switch. That sets it inactive. Old contacts, visits, and documents keep the value. New forms no longer offer it.

Inactive rows stay in history and in filters when you look at old records.

Units of measure

Configurations → Catalog settings → Units of measure.

A unit has a long name (what the catalog form shows) and a short name (what a document line and a template print, through {unit_name}). You can set a default unit for products and another for materials, and a conversion when one unit contains another, such as a box of pieces.

The catalog form offers every active unit. A product or material can use at most five of them. Services and memberships do not keep a stock unit. Deactivating a unit hides it from new items. Items that already use it keep that unit.

The English catalog starts from the standard set: piece, pair, set, box, pack, kilogram, tonne, litre, metre, kilometre, hour, day, month, year, kilowatt-hour, and the other measurement units shipped with the product. The badge on the tile is how many are active for this company, not how many exist in the world.

Acquisition sources

Configurations → Contact settings → Customer acquisition sources.

A source is where a contact or a request came from. The contact form and the request form both use this list. Add new on those forms opens this list when you may edit settings.

The product ships named sources, including Incoming call, which the call center can set on a request created from a phone call. The English demo shows 22 active sources. Activate the ones you use and add your own (walk-in, website, partner, and similar). Name is required. A source with no name will not save.

Relation types

Configurations → Contact settings → Relation types.

These are the labels when you link two contacts: director, spouse, parent company, and any you add. The English demo shows 21 active types. Name is required. The link itself (who is related to whom) is stored on the contact. This list is only the vocabulary.

Appointment types

Configurations → Appointment settings → Appointment types.

These are the choices on a visit, not the visit statuses. The English demo uses four: Consultation, Service, Follow-up, and Other. One of them is the default for a new visit. Statuses (scheduled, in progress, completed, and the rest) are a separate pipeline and are not edited here.

Adding a type asks for a name and an optional description. System types cannot be renamed. Deactivating a type hides it from new visits. Visits already booked keep their type.

The same screen sets the slot interval (5, 10, 15, 30, or 60 minutes), whether one employee may have overlapping visits, and whether the calendar is vertical or horizontal.

Address types

Configurations → Reference data → Address types.

An address on a contact can be marked home, work, delivery, legal, and the other types in the list. The English demo starts with 8. Name is required. The delivery type is the one document templates read as {contact_delivery_address}. The first main address is {contact_address}.

File types

Configurations → Reference data → File types.

These label an attachment: contract, scan, photo, lab result, and the rest. The English demo starts with 25. Name is required. The type is chosen when you attach a file to a contact, a document, or a request. Deactivating a type does not delete files already stored.

Reminder types

Configurations → Reference data → Reminder types.

A reminder’s type is a label such as call back or renew. The English demo starts with none until you add one, so the badge shows 0. Name is required. The Reminders report can filter by this type. Birthday, payment due, and request due reminders are raised by the product itself. They do not need a row in this list.

Employment types, used on the employment block of a contact, are edited in the same reference-data area and follow the same add, edit, and deactivate rules.

Tips

  • If a picker is missing a value you remember, the row is inactive or it was never activated from the shipped list.
  • Renaming a custom row renames it everywhere it is shown, including old records.
  • You cannot rename a system row. Deactivate it and add a custom row with the wording you want.
  • Two rows with the same name are confusing in pickers. The form does not always block the duplicate, so check the list before you save.
